Proposal Coordinator

Wilson Elser is currently seeking a Proposal Coordinator. This role offers remote flexibility in a state in which we have an office in the EST time zone or onsite in White Plains or New York City.

The Proposal Coordinator will work with other members of the firm’s Business Development and Marketing Department to provide top-notch and timely support for an array of new business pursuits and client development activities. The Coordinator will play an integral role in the preparation of client proposals, pitches and custom brochures, including the creation/aggregation of content needed to respond to requests for proposal (RFP, RFI, RFQ). He or she will understand how to prioritize and have the ability to complete tasks under time pressure when necessary. He or she must be adaptable, with the ability to multitask and pivot among different tasks on a routine basis. Writing and editing skills are vital, as is the ability to work collaboratively and cooperatively in a team-oriented environment. He or she also must work well independently, coordinate projects and maintain communications with various constituencies at all times.

The Position
Qualifications
  • Bachelor’s Degree in Marketing, Journalism, Mass Communications or related field.
  • Minimum of 2 Years Related Work Experience, preferably for other law firms or professional services firms.
  • Good time management skills and confidence working in a deadline-driven environment.
  • Good communication skills with attention to spelling and grammar; capable of reviewing and proofreading various documents.
  • Organized, detail-oriented, competent follow-through skills.
  • Strong interpersonal skills and professional demeanor.
  • Proficiency with Microsoft Word, Excel and PowerPoint, in addition to Adobe Acrobat Pro DC.
  • Ability to take initiative with assertiveness and confidence.
  • Ability to exercise good judgment/decision making when necessary.
  • Ability to anticipate problems and act accordingly.
  • Ability to prioritize and multi-task.
  • Flexible to manage demands outside of traditional business hours.
Requirements:
  • Preparing responses to client Requests for Proposals/Requests for Information, including development of custom written content and sourcing existing content.
  • Taking direction from an attorney or a team of attorneys to produce professional proposals, brochures and related client materials.
  • Crafting custom cover letters, executive summaries and capabilities statements on a proposal-by-proposal basis.
  • Coordinating with other Business Development and Marketing team members as needed to produce required deliverables.
  • Working with other firm departments as necessary to prepare responses.
  • Upholding the firm’s brand standards to ensure a strong brand presence for all marketing deliverables.
  • Writing/editing stock marketing materials, including practice descriptions, case descriptions and attorney biographies.
  • Maintaining bank of commonly used proposal content.
  • Maintaining/managing Business Development project tracker.
  • Assisting with other business development activities, including (but not limited to) client research, industry research and/or practice team initiatives.
  • Other proposal or business development-related duties as assigned.

The annualized salary range for this position is $60,000 to $75,000. Actual pay will be adjusted based on experience and other job-related factors permitted by law.
